Of every request that reaches us, "I need a dashboard" is probably the most frequent. It's also the one that most often turns out to be something else.
That's worth understanding, because it changes the budget considerably.
What you're actually asking for
A dashboard is a screen showing numbers. For those numbers to be worth looking at, four things have to happen — and only the last one is the dashboard:
- Data gets captured somewhere, reliably, at the moment it happens.
- Data gets consolidated, even when it lives in different systems.
- The calculations run — your KPIs, with your business logic.
- It gets displayed so someone can decide something.
When steps 1 through 3 are already solved, the project is short and cheap. When step 1 isn't — the common case — what you actually need is the system that captures that data, and the dashboard is the finishing touch.
That's not bad news. It's the difference between spending USD 3,000 on a chart nobody trusts, and solving the real problem.
The numbers
Dashboard on data that already exists: from USD 3,000
The ideal scenario. You already have a database, an ERP, or systems with APIs where the information lives.
Covers 2–3 data sources, a defined KPI set, period filters and web access. Timeline: 3 to 5 weeks.
Dashboard with multiple integrations: USD 6,000 to USD 12,000
When data has to come from several places — ERP, e-commerce, payment gateway, spreadsheets — and be reconciled. The bulk of the work isn't the chart: it's making the ERP's sales figure match the payment gateway's.
Add role-based permissions (a rep sees their accounts, leadership sees everything), exports and automated alerts.
Dashboard as part of a system: from USD 15,000
When the data doesn't exist in structured form yet and the system that generates it has to be built. Here the dashboard is a module inside a larger management project.
This is the most frequent scenario for companies still running on spreadsheets, and it's where the payoff is largest: you go from having no numbers to having them in real time.
Customer-facing dashboard: from USD 8,000
If the dashboard is part of your product — each client logs in and sees their own data — the requirements change: authentication, data isolation between accounts, performance under concurrent load, and careful design, because it's a visible face of your brand.
What about Power BI, Looker or Metabase?
Fair question, and sometimes the answer is yes.
Use an off-the-shelf tool when:
- Your data already sits in an accessible database or ERP.
- Users are internal and few.
- You want to explore and build reports yourself, changing the questions often.
- Budget is tight and you need something this week.
Build custom when:
- Data is scattered across systems that don't talk, and integrating is unavoidable anyway.
- Customers will see it — you're not handing them Power BI licenses.
- Calculation logic is specific and complex enough that no tool models it cleanly.
- The dashboard needs to trigger actions — approve, assign, notify — not just display.
- Per-seat licensing gets expensive as you scale.
A middle path that works well: build the data integration custom and put Power BI on top. You get the best of both.
What actually drives the price
Number of sources. One database is simple. Five systems with different APIs, each with its own date format and its own idea of what a "customer" is, is half the project.
Data freshness. Daily refresh is cheap. Real time costs considerably more and is rarely needed — ask whether anyone would make a different decision seeing the number two hours earlier.
Users and roles. A dashboard for the owner is one thing. One where each branch sees its own numbers and leadership sees the roll-up is another.
Source data quality. This is the factor that breaks the most budgets. If the same customer is recorded three different ways, there's a cleanup job to scope separately.
How to ask for it properly
The best way to request a dashboard isn't to describe the dashboard. It's to answer this:
- What decision will you make with it? "See sales" isn't a decision. "Know which products to discontinue" is.
- How often do you make it? A monthly decision doesn't need real-time data.
- Where does that data live today, and who enters it? Be honest here — if the answer includes "it's in Mark's spreadsheet", say so. It changes the project.
- Who's going to look at it? A dashboard for the owner and one for the sales team look nothing alike.
With those four answers, any serious vendor can scope and price it. Without them, you'll get an enormous range — and rightly so.
